The problem

Volunteers keep schedules, reports, and maps in separate apps, spreadsheets, and group chats. Each week, they tell people what to do, check replies, and collect reports by hand. Most members need to see their next assignment or send their own monthly report. Access to personal records must depend on who is asking.

What we built

A console for the people who organize

We built a web console to keep meeting schedules, people, monthly reports, and documents in one place, with controls for who can see and change each part.

An AI assistant on WhatsApp and Telegram

Members can check assignments and submit reports through chat. Authorized organizers can also update records and schedules. The assistant checks permissions before each action and asks for confirmation when changing people or schedules.

Answers from congregation documents

The assistant retrieves matching PDF passages, with document titles and pages, to help answer questions for people allowed to see the elders’ documents.

Territories on a map

Organizers can divide the congregation’s area into numbered territories and view them on a map. The console keeps territory assignments and records of completed work together.

Assignments answered in one tap

Each notice lets a member accept or decline an assignment, with replies shown in the console and an alert to the organizer when a part needs a new person.

The Hallbase console’s meeting program, with each part’s assignee and reply status

The meeting program in the console. Replies to each assignment notice come back from chat: who can’t, who hasn’t read it, and who isn’t on WhatsApp yet.

How it works

Identity and permissions checked in code

We link each WhatsApp number and Telegram account to a person and congregation. Tools check current access in code before they return records or make changes. The model does not decide who has access. Chat changes use the same access rules as the console.
